01 / START WITH THE RIGHT PRICE

A catalog price is a product reference.

The CNY amounts on our product cards come from a saved main product catalog snapshot. They describe product-price references, not the complete cost of buying and receiving an item. Keep the displayed reference date with the number.

Open the complete listing and retrieve the merchant source. Record the price for the exact colour, style, size and quantity you intend to select. A listing’s starting amount may describe a different option. The product-link guide explains how to keep these references together.

Give each amount a label and a status: current item price, estimate, confirmed charge or unknown. A blank delivery field should remain unknown in your notes. Replacing it with zero makes an incomplete budget look finished.

02 / KEEP THE STAGES SEPARATE

Buying the item and sending the parcel are separate steps.

Superbuy’s shopping-agent introduction describes two payment stages and recommends estimating international shipping before placing the product order. Paying for the item does not establish that its international delivery is already paid.

The official fee structure lists the item price, merchant-to-warehouse delivery and applicable purchasing service charge for the purchase stage. Service charges depend on the source platform and service. Optional services are selected separately. Read the actual breakdown for your source and selected option rather than treating “free purchasing” as a promise that the whole purchase and delivery cost nothing.

For your own record, keep the purchase-stage amount beside the later parcel amount. Mark when each becomes confirmed. That makes it easier to explain a change: an updated item option, a newly selected service or a revised parcel quote are different reasons for a different total.

Before selecting an extra view or packaging service, write down what you need it to answer or protect, then check its current terms. Our QC guide shows how to make a specific photo or measurement request.

03 / SAVE THE INPUTS WITH THE ESTIMATE

A shipping number needs a parcel description.

The official Superbuy shipping calculator asks for destination, warehouse, weight in grams, dimensions in centimetres and item category. Its FAQ explains initial and additional weight units and volumetric weight. Use the selected line’s own charging rules; do not apply one divisor or per-kilogram rate to every route.

Keep a dated note of the inputs and the line you compared. If an item’s packed dimensions are not known yet, label them as assumptions. Enter the item category accurately, and check the route’s limits and terms before relying on a displayed estimate.

When comparing two parcel plans, change one assumption at a time. For example, compare the same contents and destination with two packing plans. If you change the contents, weight and route together, you cannot tell which change explains the difference.

Superbuy’s fee FAQ distinguishes the preliminary shipping payment from the logistics provider’s final bill and describes reconciling an overpayment or shortfall. Keep the estimate and final charge as separate records.

Check whether a quote includes destination charges or leaves something payable separately. For the UK, GOV.UK’s import guidance explains that VAT or duty may be payable and that the parcel or courier company advises on a required payment. For another destination, check its own customs authority and the route terms. This page does not set a tax rate or promise tax-free delivery.

For a destination-specific check, read our US shipping guide or UK shipping guide. They keep parcel inputs, import arrangements and official destination sources together.

AFTER THE PRELIMINARY PARCEL PAYMENT

Keep the freight deposit and final charge as separate entries.

Superbuy’s fee FAQ says the preliminary payment uses estimated weight, the selected route and destination; the final amount follows the logistics provider’s bill, with an overpayment or shortfall reconciled. Record the deposit, the verified shipping charge and the resulting adjustment rather than counting the deposit and final charge twice.

A reconciliation record for your own parcel
EntryWhat to keep
DepositParcel number, payment date, currency, estimated inputs and selected route.
Final billVerified weight/dimensions and the charge breakdown.
AdjustmentNamed refund/credit or additional payment, amount, date and reference.
Other chargesSelected packing services or destination payments recorded separately.

A difference in the freight bill is not necessarily a product refund. Check the order or parcel details and the actual account/payment entry. Ask support where the adjustment is recorded and whether anything remains pending before assuming an immediate refund to the original payment method.

The parcel-packing guide shows a labelled volume-weight example and a plan comparison. Keep any changed packing dimensions with the reconciliation record so the revised amount has an explanation.

04 / MAKE THE UNKNOWNS VISIBLE

Build a subtotal you can explain.

The following values are invented to demonstrate a record-keeping method. They do not represent Superbuy’s rates, a catalog product or a real shipment. All entered amounts use CNY so they can be added without an exchange-rate assumption.

Hypothetical budget — not a live quote or final delivered total
ComponentIllustrative entry
Selected itemCNY 150
Domestic deliveryCNY 12
Purchasing chargeCNY 5, assumed for this example
Chosen extra serviceCNY 8, assumed for this example
International deliveryCNY 180, assumed estimate
Entered subtotalCNY 355 = 150 + 12 + 5 + 8 + 180
Still unresolvedAny payment/currency or destination charge that applies and is not already included.

CNY 355 is only the subtotal of the entered assumptions. It becomes a useful comparison when you replace each invented value with your own documented amount and resolve the missing fields. Check that a charge has not already been included in another line before adding it again.

If you pay in another currency, record the actual amount presented by the payment method alongside the CNY record. Check its conversion and applicable charges. A fixed website conversion is not evidence of what your card or payment service will settle.

05 / KEEP THE SCOPE CONSISTENT

A lower item price does not settle the comparison.

Compare the same quantity, intended use and destination. Keep the dimensions and selected option in view too: a less expensive item in the wrong size is a different choice, not a saving on the item you wanted.

For several items sharing a parcel, label international delivery as a parcel cost. If you split that estimate evenly between the items for your own budget, call it an allocation. It is not an actual per-item shipping quote and may be unsuitable when the items differ substantially.

Before deciding, check three things: which values are confirmed, which depend on assumptions, and which questions still need an answer. Use the buying guide for the full sequence, and the contact page to choose the right channel for a catalog issue or agent-order question.

THE QUICK ANSWERS

Keep the number in context.

Is the amount on a spreadsheet card my total buying cost?

Our cards show saved product-price references. Build a separate budget for your exact option and parcel, keeping additional and unresolved charges visible.

Can I use the CNY 355 example as my shipping budget?

No. Its values are invented for arithmetic and record-keeping. Replace them with the amounts and assumptions for your own item, destination and selected service.

How should I record a cost I do not know yet?

Mark it unknown and note how you will resolve it. Do not add zero unless you have confirmed that no charge applies, and check whether it is already included elsewhere.
